Scheduled Maintenance

The Scheduled Maintenance module has the ability to create and set various types of Scheduled Events, all managed by Corporate level users.  Creating a Maintenance Item is simple.  Give the item a name, set the parameters and assign location(s).  There are no limits on the number of Maintenance Items you can set up. 

Add a Maintenance Item

The steps necessary to set a new Maintenance Item are as follows. 

  1. Go to View > Account Setup > Scheduled Maintenance.

  2. Click the green plus sign.

  3. Enter a Title.

  4. Choose a supplier contract/agreement using the drop down menu.

  5. Select Revolving if you want this maintenance Item to repeat on a schedule.

  6. Select an Effective Date for when you like this Scheduled maintenance to start.  Also used to calculate revolutions.

  7. Set a Minimum Frequency Interval to specify the number of times this maintenance item will occur.

  8. Set a Minimum Frequency Type to designate how often this maintenance will occur.

  9. Provide a Description of the Scheduled Maintenance to be performed.

Maintenance Notifications

  • Next, choose whether or not you would like a Reminder email.  If so, type in how many days prior and how many hours between each reminder.

  • An Exceptions email is a notification that the Scheduled Maintenance Item is past due.  Select yes if you would like an Email to be sent notifying you of this instance.  There is also an option to copy the Region and Corporate users on this email.

  • The same rules apply to Completion emails.  A Completion email will notify you once the Maintenance Item has been completed. Click Update.

  • To add location(s) to your Item, click the number hyperlink in the Scheduled Locations column.  This number identifies how many Locations are currently assigned.

  • Click the green plus sign.

  • Select Add All Locations or a Specific Location from the pop up box.

  • Click Save, then click the black X to exit the Location Filter window. 

To remove a location from a Scheduled Maintenance Item or to delete the Item altogether, locate the Maintenance Item in question.  For removing Locations, click the Scheduled Locations count hyperlink.  Click the red X to remove desired locations.

Removing a Scheduled Maintenance Item is done the same way.  Locate the Maintenance Item to be removed, then click the red X to remove that item.
