Getting Started

Welcome to our Procure-to-Pay tool! This system consists of three main workflows: Purchasing (or Requisition) Workflow, Payable Workflow, and Accounts Payable Workflow. Each workflow serves a specific function, with one focusing on purchasing management and the others on managing Accounts Payable.

In this article, we will delve into each of these workflows, providing a detailed overview of their functions and discussing additional system features.

How It Works

The system uses a task-oriented approach to manage spending by dividing necessary steps among different parties, ensuring all stakeholders are informed of actions required of them.

The Purchasing Workflow consists of steps related to the life cycle of purchase orders, with basic steps following best practices. Additional steps are tailored to your company's specific policies and procedures to meet corporate goals regarding purchasing practices. (i.e. vendor selection, order approval requirements, etc.).
The Payable Workflow handles invoices received electronically without a matching purchase order by creating an Ad Hoc Order and processing it through the Purchasing Workflow.

The Accounts Payable Workflow continues after the Purchasing Workflow, aiming to streamline the Accounts Payable process while adhering to General Accepted Accounting Principles (GAAP) guidelines for a paperless approach.

Accessing the System

To access the EPRO system, simply use your internet browser. You will receive an email with a link to login and your credentials. If you haven't received this email yet, please reach out to your system administrator at your corporate office.

If you are having difficulty accessing the system, please refer to our System Requirements page to ensure your setup is correct.

Access Levels

When users are created, they are assigned a specific Access Level based on their role. For Buyers, these levels are Corporate, Region, Location, and Accounting, depending on the tasks they need to perform. Suppliers have access levels such as Corporate, Warehouse, and Accounting.

In addition to Access Levels, users can also be assigned a Security Role, which allows organizations to customize access permissions. These Security Roles are managed by Corporate-level users.

Navigating the System


When you log into the system, you will see the Dashboard, sometimes referred to as the Welcome screen. There is a menu bar at the top of the page, and the main navigation controls are found within the View menu on the menu bar. The options in the View menu may change depending on your Access Level and Security Role.

To easily return to the Dashboard from any page, simply click on View > Dashboard in the menu.
