Uploading Adjustments

If you are working with budget data from another source or prefer making changes in an Excel spreadsheet, you can choose to upload budget adjustments using the Upload utility built into the system. Use this method primarily when working with a third-party forecasting tool.

This method takes into account that you use a standardized Excel template compatible with the EPRO system. If you need access to this template, skip to Step 3 below and click the Download Import Template after you have selected Budget Account.

Important

  • Note that any changes made using the steps below will be final. You cannot undo changes.

  • The Budget Template format should not be changed. This includes adding additional tabs or columns.

Upload Budget Adjustments

  1. Go to Tools > Uploads.

  2. Select Budget Account from the drop down menu.

  3. Click Download import template > open the template.

  4. In Column A, input the Budget Name that is identical to the name of the Budget listed under your account. The Budget Name must match exactly as any extra spaces or incorrect spelling will result in an error when attempting to upload the template.

    • If you are unsure of your property's Budget Name go to View > Accounting > Budgets to locate the correct budget.

  5. In Column B, input the GL Account numbers that are loaded under your account. Numbers must match exactly.

  6. In Columns H-S correspond to the Budget Periods that make up your Budget. Enter values for each period or paste from another source should you be relying on an export from another software system.

  7. Save the completed file on your computer.

  8. If you have logged out or closed your browser while working on your template, select Tools > Uploads to access the Uploads screen.

  9. Under the Upload Content tab, leave Advance Uploads selected and choose Budget Account from drop-down control.

  10. Click the Browse button and select your file from your computer.

  11. Click the Upload button to load your file in the grid below. This step will analyze your data and present any issues that need to be addressed. If there are any errors, you can make corrections to the original file and repeat this step.

  12. When ready, click the Import button to load your changes to your budget.

Budget Upload Fields

The Budget Upload template provides users the ability to easily make updates to multiple budgets at once. There are several optional fields included in the template, each of which provides more flexibility for budget manipulation. These fields are defined below and should be used dependent upon budget configuration for a particular location.

  • Budget Name - Mandatory field. The name of your budget. Should be an exact match of what currently exists in the EPROsystem.

  • GL Account Number - Mandatory field. Must match the GL account numbers that are already setup.

  • Clear Overrides YN - Optional field. Input a Y in this column to have the upload clear any existing overrides. Alternatively input an N or omit this column altogether to leave current overrides.

  • Comments - Optional field. Enter any comments to help describe the purpose of a particular budget.

  • Cost Center Account - Optional field. If your property uses cost centers in their budget account, they need to be plugged in here.

  • Delete YN - Optional field. Input a Y to delete the corresponding budget in this row. Alternatively input an N or omit this column altogether to leave current budget.

  • Master GL Account Number - Optional field. Input an exact match to a corresponding Master GL Account so the budget will have a relationship to that account.

  • Periods 1 - 12 - Optional field. Plug in the budgeted amount corresponding to each month of the year.

  • Total Budget Amount - Optional field. Enter the total budget amount. Make sure this amount is equivalent to the summation of budget period amounts.
